In this guide
An exhibition booth has two different price questions: what the organiser charges for participation, and what it costs to make your stand ready for business. Add staffing, freight and follow-up, and the total can look very different from the first number you saw. This guide separates those costs and uses one published Singapore 2027 organiser rate to show the arithmetic. It does not present a universal market price or a contractor quotation.
Start with the booking package
Find out whether you are buying a shell scheme or raw space, the minimum bookable area and the exact included items. Keep the organiser’s participation charge separate from your stand supplier’s fee. An amount quoted per square metre by a show is not automatically a construction rate, and a construction quotation does not automatically include the exhibition booking.
Check the currency, tax basis, date and edition against the actual offer. A Singapore-dollar price can even refer to an overseas event, so currency alone does not establish location. Record each number with its scope rather than combining rates from unrelated events into a supposed Singapore average.
A real 2027 example: SIWT participation fees
Singapore International Industrial Water Expo 2027 publishes shell scheme at S$675 per square metre, with a 9-square-metre minimum, and raw space at S$540 per square metre, with an 18-square-metre minimum. The page states that these prices are before 9% GST. At those published rates, a minimum 9-square-metre shell scheme is S$6,075 before GST, or S$6,621.75 including it.
For an equal-area comparison at 18 square metres, the shell scheme participation fee is S$12,150 before GST and raw space is S$9,720: a difference of S$2,430 before GST. That difference is not a complete custom-build budget. Raw space still needs the booth and its associated services. These are calculations from one show’s published rates checked on 3 November 2026; obtain a current booking offer before committing.
Create a separate stand-delivery budget
Ask your contractor to separate design and drawings, structure, finishes, graphics, furniture, AV, installation and dismantling. Specify whether components are rented, purchased or retained. A line called booth construction can otherwise hide important differences in quantity, finish, equipment and responsibility.
The main cost drivers are the scope you request: size and open sides, construction complexity, graphics area, equipment needs, finishes and the installation plan. A comparison between a simple branded shell scheme and a stand containing meeting rooms or working machinery is not a like-for-like price comparison. Request a base design that meets the objective, with optional features priced separately.
- Design, technical drawings, agreed revisions and submission coordination.
- Structure, flooring, finishes and graphics with quantities or specifications.
- Furniture, lighting and AV with sizes, counts and rental periods.
- Transport, installation, handover, show support and removal.
- Ownership, packing, storage and return transport for retained components.
Assign a budget owner to organiser and venue services
Make a separate services list and ask which items are included, separately charged or not needed. Depending on your project, questions may include power, internet, rigging, water, drainage, handling, cleaning and waste removal. The current event manual and confirmed orders establish the requirements; this list is a prompt, not a statement that every fee applies.
Record who places each order and who pays it. If the builder coordinates a service, establish whether its fee includes the external charge or only the coordination work. Keep refundable deposits apart from permanent costs so the cash required before the event is not confused with the final expense.
Include the people and work around the stand
Budget for product transport, sample replenishment, travel, accommodation, staff time and demonstration preparation where relevant. Include the cost of producing content that needs to run on a screen and the time required to train staff. A stand with equipment your team cannot demonstrate is not ready simply because construction is complete.
Reserve follow-up capacity too. Decide who will organise the contact records, answer technical questions and prepare proposals after the show. These costs may sit in another department, but they still belong in the participation decision. Avoid treating an event as profitable because its construction bill is lower than an unqualified pipeline estimate.
Use a budget sheet that distinguishes facts from allowances
For every item, record the supplier, scope, quantity, currency, tax basis, quoted amount, payment date and status. Mark an unquoted figure as an allowance and assign someone to replace it with a confirmed price. Keep optional upgrades outside the approved base total until they are selected.
Use separate totals for committed cost, unresolved allowances and cash due before the show. List refundable deposits independently. Add a contingency based on identified uncertainties such as an unfinished design or unconfirmed freight, rather than presenting one percentage as correct for every exhibition. Before signing off, ask: what is still missing for the stand and team to operate?
- Organiser participation package and confirmed inclusions.
- Booth design, delivery and dismantling scope.
- External services, freight and handling.
- Staff, travel, demonstration content and replenishment.
- Follow-up work, storage and reuse preparation.
- Unconfirmed allowances, optional items and refundable deposits.
